How to scan a multi-page document into one PDF

Have ten scanned pages but the portal requests one attachment? Learn how to scan with a phone or scanner, assemble one PDF and deal with blank or rotated pages.

With multi-page scanning, the difference between a folder of loose images and one orderly document quickly becomes clear. A portal, accountant or colleague usually expects one PDF whose pages are already in the correct sequence.

You can scan with a phone, scanner or multifunction printer. This guide explains how to assemble the pages, remove blank backs, correct rotation and keep the result within a file-size limit.

Scanning with a phone: one photo per page

Place each sheet flat in even light, hold the phone parallel to it and keep all four corners in the frame. Use a document mode when available because it can crop the page and correct perspective. Photograph pages in order and inspect small text and signatures before putting away the originals.

Select the images in Images to PDF, arrange them and create the file. Each image becomes one page. Use JPG to PDF for JPG photos or HEIC to PDF for iPhone HEIC files. No OCR is performed, so photographed text does not become searchable unless another app added a text layer first.

Images to PDF

Create one PDF from JPG, PNG, HEIC, WebP, TIFF or BMP photos and scans in the order you choose. Nothing is uploaded.

Scanner or multifunction printer

Choose PDF output and multi-page or document mode if the scanner offers them. Around 150 to 300 DPI is generally suitable for ordinary text; colour, very high resolution and weak compression create much larger files. Use greyscale or black and white when colour carries no information.

If the scanner produces one PDF per batch or sheet, combine them with Merge PDF. Put the files in order before starting. Their page content and dimensions are copied without recompression.

Merge PDF

Choose your PDF files, put them in order and download one document. Everything happens in your browser, and nothing is uploaded.

Duplex pages and blank pages

Duplex scanning single-sided sheets creates an empty back after every printed page. Use Remove Blank Pages from PDF, which marks pages without selectable text whose previews are almost entirely white.

Review the marks because faint pencil, a pale stamp or scan noise can affect the result. The detection is only a suggestion and you remain in control of every page.

Rotated pages

Correct sideways or upside-down pages with Rotate PDF. You can rotate individual pages or all of them in 90-degree steps. Rotation changes only the page orientation and does not resample the scan, so its quality remains unchanged.

If pages are also out of sequence, use Organize PDF Pages. Check order after every correction, especially when front and back sides were scanned separately.

Scan size and portal limits

A scan is an image on every page, so colour and resolution have a major effect on size. Start with appropriate scanner settings rather than capturing the highest possible resolution. If the completed PDF is still too large, use Compress PDF.

Compression may reduce oversized images to 150 DPI and JPEG quality 75, and as a last resort render pages at a lower resolution while preserving any existing text layer. It does not perform OCR. Inspect stamps, signatures and fine print after lossy processing.

The best order of operations

First create or merge the complete document. Next arrange and rotate pages, then remove blank or unwanted ones. Compress only the finished PDF so the size target applies to the exact file you will submit. Add password protection last, because the other PDF tools reject encrypted input.

Frequently asked questions

How do I scan several pages into one PDF on my phone?

Photograph or scan every page with a document app, then select the images together in Images to PDF and arrange them in order. Every image becomes one PDF page.

How do I combine scanned pages into one file?

If you have images, use Images to PDF. If the scanner produced several PDF files, use Merge PDF. In both cases, set the order before creating the result.

How can I scan a document without a scanner?

Use a phone camera or its document-scanning feature. Keep the device parallel to the paper, use even light and check focus, page edges and small print.

Will text in the scanned PDF be searchable?

Not automatically. A photograph is an image and these tools perform no OCR. Text is searchable only if the scanning app or another program has already added a text layer.

What resolution should I choose for scanning?

For ordinary office text, 150 to 300 DPI is usually practical. Fine drawings or archival work may need more. Higher resolution increases file size, so choose it only when the detail matters.

Are scans uploaded anywhere?

No. Image conversion, merging and the other PDF operations described here run in your browser. Files remain on your device and are not sent to a server.
